What the team is looking for.
We are looking for a highly organized and proactive Administrative Assistant to support 2-3 VP-level leaders at Replit. This role is ideal for someone who enjoys creating structure, keeping teams organized, and ensuring leaders can focus on their highest-impact work.
You will provide administrative and operational support across scheduling, meeting coordination, travel logistics, team events, and day-to-day organizational needs. Success in this role requires strong attention to detail, excellent communication skills, and the ability to manage multiple priorities in a fast-paced environment.
Administrative Support
- Manage calendars for VP-level leaders, including scheduling meetings and resolving conflicts.
- Coordinate internal and external meetings across multiple stakeholders and time zones.
- Arrange travel, accommodations, and itineraries.
- Process expense reports and support other administrative tasks as needed.
- Help leaders stay organized by tracking action items, deadlines, and follow-ups.
Team & Meeting Coordination
- Coordinate team meetings, offsites, and other team events.
- Prepare agendas, meeting materials, and notes when needed.
- Assist with onboarding logistics for new team members.
- Support quarterly planning sessions, team reviews, and other recurring team operating rhythms.
Operational Excellence
- Maintain documentation, team resources, and organizational systems.
- Help improve administrative processes and workflows to increase efficiency.
- Partner with other Administrative Assistants, Executive Assistants, and cross-functional teams to coordinate work and solve problems.
Communication & Collaboration
- Serve as a reliable point of contact for scheduling and coordination needs.
- Communicate professionally with employees, candidates, customers, and external partners.
- Build strong working relationships across the organization and contribute to a positive team experience.
Required Skills & Experience
- 2–3 years of experience in an administrative, coordinator, office management, or operations role.
- Strong organizational skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities and adapt quickly to changing needs.
- Experience with Google Workspace, Slack, Notion, or similar productivity tools.
- Strong judgment and discretion when handling sensitive information.
Preferred Qualifications
- Experience supporting leaders or teams in a high-growth technology company.
- Experience coordinating events, offsites, or team meetings.
- Comfortable creating presentations, documents, and spreadsheets with a high degree of accuracy.
- Demonstrated ability to anticipate needs and proactively solve problems.
